Induction pack
We would like to offer you a warm welcome to Herefordshire and Worcestershire Health and Care NHS Trust.
This pack will help you get started in your new role and should be issued by your manager who will be able to offer you detailed guidance in the day-to-day aspects of your role. In this pack you should have the following items:
ID badge
This is provided with a lanyard and contains your full name, job title and photo ID. This should be worn at all times on Trust sites (subject to risk assessment). If there are any problems you need to contact Jayne Mills, Registration Authority Agent on email: WHCNHS.smartcards@nhs.net
Smartcard
This provides you access to the Electronic Staff Record from a laptop or desktop computer.
If you haven’t already got a smartcard or you have already got one from a previous role which needs to be activated please contact Jayne Mills, Registration authority Agent on email: WHCNHS.smartcards@nhs.net
Induction checklist
Our Trust induction policy includes a robust checklist of activities to be included within your first day, weeks and months within the Trust. This checklist needs to be completed and returned to Learning and Development. Your manager should also keep a copy in your file.

Digital skills diagnostic assessment
We would like to understand what your IT and digital training needs might be to support you with additional training if you need it. Further information and a link to the assessment survey will be sent to you in your first week.
Clinical application training
Certain roles will use apps such as Carenotes, IAPTus, EMIS or EPMA. This training is delivered as an e-learning package and a link will be sent to your NHS email. If you have any problems using the e-learning package, please email the IT Training Team at WHCNHS.ITTraining@nhs.net.
IT account
This will be sent to your manager or the nominated person by the IT Service Desk. Their contact number is 0300 7906 863.
If you require access to Office 365 for your role contact the IT Service Desk. This can take up to 24hrs to activate.
Further information
Uniform
If you have requested a uniform, you will need to go to the practical training room to collect it. For any problems please contact whcnhs.uniforms@nhs.net.
Name badge
Due to a change of supplier, Learning and Development no longer order name badges for new starters. If you need a name badge this can be ordered by following the link on the intranet:

Name badges are supplied with first name only and role, in a yellow background and black text format.
Please note, all staff will be issued an ID badge and lanyard which includes full name, role and picture ID. A name badge may not be required in all instances, but is for those in patient/service user facing roles.
Mandatory training
You need to complete all your mandatory training within the first month of employment which is available via ESR (Electronic Staff Record).
Information on how to access ESR is included on the learning and development intranet page. You'll be able to access this after you have an IT login.
If you have previously worked within the NHS your competencies may have automatically been transferred from your previous employer. If you believe previous training you have completed could go towards your current requirements, please provide evidence (i.e. certificate) to Learning and Development, who will update your learning record, if applicable.
The learning and development intranet page includes further information and electronic copies of the induction policy, checklists, training and ESR guides.
Update personal information on ESR and change email preferences
All course information and joining instructions are sent by NHS email so when you first log onto ESR make sure all your personal details including your contact number are correct.
To use ESR without a smartcard (i.e. remotely), you will need to set this up.
- Go to your ESR portal page and on the left-hand side go to manage internet access.
- You will automatically get your username and then you must set a password.
- You can now login to ESR without a smartcard, using this username and password. Please remember these.
