Trainee Clinical Psychologist Placement - Onboarding
The overall purpose of the DClinPsych programme is to train clinical psychologists for work in the NHS and related settings in accordance with the requirements of the Health Care and Professions Council (HCPC). Therefore, alongside the academic and research elements of the course, a huge part of your training will be your placements to prepare you for practice in the NHS.
An expectation on the course is that not only will theory inform practice but practice will inform theory. Therefore, as a trainee, it is imperative that trainees reflect and build upon their clinical practice during clinical placements; as well as academic and research elements of the programme.
It is recognised that balancing academic, research and clinical placements can be difficult, and having a placement out of area can be daunting. It is therefore hoped that this information prepares you and provides some support and guidance as you begin your placement within Herefordshire and Worcestershire Health and Care NHS Trust (HWHCT).
What paperwork will I be required to complete
New trainees are required to complete the full honorary contract pro-forma along with the confidentiality statement:
Please note: The honorary contract and confidentiality statement must be returned to HR at least two weeks prior to your commencement. 3 weeks is ideal and preferred by HR, so please make this a priority.
Why is it necessary to have an honorary contract?
Although there is a Health Education England (HEE) NHS Education contract in place, this does not cover the practicalities of the placement with the Trust, which an honorary contact does, including adherence to Trust policies and procedures, health and safety, confidentiality requirements, etc.
In addition, the honorary contract details the indemnity provided by the Trust in respect of liabilities; particularly liability in respect of clinical negligence. Hence the requirement for honorary contracts to be issued to trainee clinical psychologists on placement with us.
Will employment checks need to be completed if checks have already been carried out by CWPT?
In line with NHS Employment Standards, it has previously been agreed that we will accept written/email confirmation from Coventry and Warwick that the relevant checks have been undertaken. This includes: written confirmation of full ID checks, DBS, references, and occupational health clearance.
Your supervisor will be required to check your physical CWPT ID badge either during your pre-placement visit or upon commencement of placement.
I’m a trainee returning to placement – what paperwork will I be required to complete?
Trainees who have had more than a 3 months’ break in placements with HWHCT will need to complete the honorary contract extension pro-forma along with the confidentiality statement.
Please note that on the pro-forma, your hours will fluctuate between 22.5 to 30 hrs. HR will require this information to issue your contract accordingly.
Completed paperwork should be forwarded to your allocated placement co-ordinator in order to obtain supervisor/SDU approval.
Once the extension pro-forma has been fully completed/signed, your allocated placement co-ordinator will forward the paperwork over to HR with a request to issue your formal contract.

What other paperwork do I need to complete upon commencement of my placement?
- IT Acceptable Use Policy v2.0 — you will be required to read the IT Acceptable Use Policy and confirm the date this has been read with your placement co-ordinator.
- A new local induction checklist has been created.
- Emergency Info & NOK contact details form — you will be required to complete an emergency information form for the purpose of making contact with either yourself or a next of kin (NOK) in the unlikely event that you are at risk.

Is it possible to complete Safety Intervention Foundation Training (breakaway) and Basic Life Support (BLS) Trainings with the Trust as opposed to via CWPT?
Safety Intervention Foundation Training (breakaway) and Basic Life Support (BLS) trainings can be completed in other organisations. If completing these trainings with another organisation, you will need to share a copy of your certificate with CWPT so your ESR (Electronic Staff Record) can be updated. There is no requirement to complete the trainings again.
Please note: Any trainees signed up to attend face-to-face BLS or Safety Intervention Foundation Training via HWHCT and not be able to attend, need to give at least three days' notice of non-attendance to our Learning and Development team ensuring a reason for non-attendance is stated. Failure to cancel places with the Trust will result in a £50 'did not attend' fee being incurred against their respective team budget.
Will I need access to ESR whilst on placement?
ESR access will be provided by CWPT only.
What clinical system do you use and will I require training for this?
You will be required to complete Carenotes (clinical system) training via Moodle prior to using. It is possible to complete Carenotes training with CWPT or HWHCT, but not necessary to complete it twice.
Onboarding specifics
What are my placement hours?
New trainees are contracted to work 22.5 hours a week on placement, this is usually 9am — 5pm. You and your supervisor will work jointly to identify the best way of working to ensure you fully meet the requirements of the placement.
Returning trainees are contracted to work 22.5 — 30 hours a week on placement, this is usually 9am — 5pm. You and your supervisor will work jointly to identify the best way of working to ensure you fully meet the requirements of the placement.
Is there an option for hybrid working?
Dependent on the placement setting and with the agreement of your supervisor, it is possible to work remotely for some days.
What time and who should I report to on my first day?
A mutual agreement should be made between yourself and your supervisor as to what time and who to report to on your first day of placement.
Will I require door access codes/keys to get into site(s)?
Your placement co-ordinator/supervisor will be able to provide you with this information.
What can I expect to receive upon starting?
- ID badge

- Trust laptop
- Headset (headphones)
- Microsoft account (including Outlook, Teams, Onedrive, etc.)
- Electronic Patient Record (Rio) Training
- Relevant folder and caseload access
Will a Trust mobile phone be provided?
A Trust mobile phone will not be issued as telephone calls can be made using Microsoft Teams. MS Teams will enable you to make calls to other colleagues or clients much like a phone.
What happens if I accidently leave my Trust laptop at home when I’m on site?
OneDrive can be accessed to enable you to access applications, files, and emails as required. You can sign into OneDrive either on a personal device (university laptop or home laptop) and continue to work in this way.
What information will I be required to provide to my placement co-ordinator?
- Existing nhs.net email address (if already have one)
- Smartcard UUID number (if you already have one)
- A digital photo (passport style) for your ID badge (You can find guidance on the style of photos on the gov.uk website)
Please note that if you already have an nhs.net email address, you will need to request your previous Trust to unlink your nhs.net email address and inform your placement co-ordinator once they have confirmed the unlink.
Can I claim expenses?
Expenses can be claimed for the cost of accommodation, mileage to placement, commuting, as well as parking. You are advised to download the Selenity Expenses Mobile App and do your expenses as you go along to avoid forgetting or losing receipts! Please also book and claim your accommodation in advance so you can claim it back ASAP.
Booking accommodation just after pay day and claiming it in the month before seems to be the most feasible way of doing this.
In order to get your expenses up and running, make it a priorityto get set up on CWPT system (HR can do this for you).
Who will I need to inform if I wish to take annual leave?
Your annual leave is awarded to you via your employing Trust (CWPT). You should initially liaise with the university about your leave entitlement and proceed with booking time off via your employer (CWPT). All requests to then be added on your ESR record. You are asked to also inform your supervisor of your leave arrangements. This is so your supervisor / team are aware of your whereabouts when you are not on placement.
Who will I need to inform if I am unable to come on placement due to being unwell?
You will be required to inform both your employing Trust (CWPT) and your placement supervisor of your illness and should continue to keep both parties informed of when you will be returning and have returned to work.
Who is required to complete the 'return to work' with me after a sickness absence?
Your employing trust (CWPT) will be required to complete this paperwork with you and a copy of the form should be retained on your personnel file at CWPT.
Completing your placement
Where and who should my equipment be returned to when my placement comes to an end?
You will be required to return all of your equipment to your supervisors before your last day.
Will all of my accounts be disabled?
Your placement co-ordinator will make contact with the IT Service Desk to request for all of your accounts to be disabled (including your email address).
What if my nhs.net email address is required for my next placement?
If you are aware of the location of your next placement (outside of HWHCT) and if the organisation uses an nhs.net email address, please inform your Placement Coordinator/Administrator of this information as soon as possible. Your placement Coordinator/Administrator will send a message to IT requesting for a ‘do not disable’ note to be added onto your account and this will freeze your account for a period of 18 months. This is because leaver email accounts are permanently deleted after 30 days by default.
Please note: Although a note can be made requesting to not disable your account, the responsibility of enabling and disabling a user account ultimately lies with NHS.
Is it possible to gain remote access to the Trusts applications if supporting with a Service Evaluation Project after my placement comes to an end?
Subject to approval from the respective Lead Psychologist, it is possible for your placement co-ordinator to request access to the Trust's remote Workspot App, which allows you to gain access to anything as if you were using a Trust PC in the office.
Will a contract be required to support with Service Evaluation Project work when my placement ends with the team and the work continues whilst I am on placement with another Trust?
An extension to honorary contract will be required to support you to complete the Service Evaluation Project. Your placement co-ordinator will make contact with you near the end of your service evaluation completion date to confirm all work has been carried out and confirm that a request will be made to IT to close all accounts. Should the evaluation work require longer to complete, an additional extension to your honorary contract will be required.

Covid-19 guidance and advice
In line with new national guidance, we continue to review our mask-wearing guidance for staff, patients and visitors. There will always remain specific indications for face mask wearing e.g., the patient is immunocompromised, deemed clinically extremely vulnerable, COVID-19 positive, a COVID contact or their COVID-19 status is not yet known.
This guidance will change if respiratory infections levels increase (including levels of COVID-19) or a variant of concern is identified. The overarching principal is to consider clinical presentation, patient preference, clinical status, tasks being undertaken and situation. If you’re in doubt, please continue wearing a mask and seek advice.
From Wednesday 1st June 2023, all standard reporting has been transferred to individual teams to process as detailed below.
